Situation

A large Bus group consisting of 9 operating companies across the UK needed to standardize the IT system used across the group. Previous to the development and implementation of the designed system 4 different IT systems were used at the various operating companies


Challenge

  • The use of varying IT systems across the group had lead to a lack of visibility of performance between operating companies and differing processes across the group. Standard operating practices in Engineering and Procurement divisions required standardizing to meet the group’s ‘One Company’ strategic vision
  • Processes needed to be standardized across the group before design of the system could begin


Approach
The approach taken by Tefen Management Consulting can broadly be broken down into three streams

  • Collaborating with the 9 Operating Companies, standardised working practices, engineering standards and reporting structures were defined. Once these were in place, these practices were transferred to a functional specification for the system
  • Rollout of the system was split into 3 phases to aid in implementation and to limit the risk to existing businesses
  • Testing and enhancement of the system was conducting involving users of all operating companies



Results

  • Implementation was successful with no major issues once live and the system is currently being used across the group
  • Due to increased functionality, particularly in the processing of warranty claims and the reduction of owned stock from extensive Assurance stock functionality, the group saves on average £1M p.a.
